We’re looking for a highly organized Fleet Coordinator who thrives on keeping operations running smoothly. This role is key to ensuring our vehicles and equipment are tracked, maintained, and compliant—supporting both field efficiency and financial accuracy.
Invoice Processing: Handle incoming fleet-related invoices, ensuring accurate coding and timely approvals.
Telematics Tracking: Monitor equipment usage and vehicle activity using fleet tracking software.
Reports & Utilization: Assist in generating utilization and performance reports for equipment and vehicles.
Budget Meeting Prep: Support budget planning by preparing agendas and supporting documentation.
Fleet Data Management: Maintain accurate records of vehicles, equipment, and repair history.
Scheduling Support: Coordinate inspections, repairs, registrations, and preventive maintenance to keep the fleet compliant and operational.
Skills & Abilities
Solid administrative or office support experience, preferably in fleet, logistics, or construction operations.
Tech-savvy with the ability to learn and manage telematics or fleet management platforms.
Strong organizational skills with the ability to manage multiple priorities.
Clear, professional communication skills for working with vendors, drivers, mechanics, and internal teams.
A collaborative mindset and the ability to thrive in a fast-paced, team-oriented environment.
Physical Requirements
Ability to sit or stand for extended periods and perform repetitive administrative tasks.
Strong visual and auditory acuity for site safety, including recognizing alarms and signals.
Ability to climb in and out of equipment and safely handle related tasks.
Capable of lifting up to 40 lbs as necessary for site safety and maintenance.
Environmental Adaptability
Comfortable working in outdoor conditions across varying weather, times, and locations.
Required to wear appropriate protective gear (hard hat, hearing and eye protection, high-visibility clothing).
3–5 years of administrative support experience, preferably in fleet, logistics, or construction operations.
Proficiency with fleet management and telematics systems such as Samsara, Geotab, or Ford Pro (or willingness to learn).
Strong Microsoft Office Suite skills (Excel, Word, Outlook, PowerPoint) and database management experience.
Background in vendor invoice processing, expense tracking, and budget planning.
Familiarity with DOT compliance requirements, driver documentation, and vehicle recordkeeping.
Ability to analyze, maintain, and report on fleet utilization and performance metrics.
